2008 Travel Information for Representatives and Committee Members

Requirements for Reimbursement:

Primary or Alternate Representative of a member school must:

  • Sign in at designated area (3:30–4:00 p.m.)
  • Attend  the Annual Meeting of GMAC Member Schools at 4:00 p.m. on Thursday, June 19.
  • If a representative does not sign in, travel and hotel will not be covered by GMAC.

Note: Committee members who are not Primary or Alternate Representatives will be reimbursed for travel and hotel but do not attend the Annual Meeting of GMAC Member Schools.

A. Travel Reimbursement

  • No airline or train tickets purchased after May 30, 2008, will be covered.
  • All representatives and committee members are required to use World Travel Management (WTM), the official travel agency of GMAC®. Air and train reservations are made by completing the AIC Travel Reservation Form.
  • GMAC will cover the cost of the least expensive direct route to Chicago, Illinois.
  • Vehicle mileage will be reimbursed at a rate of 50.5 cents per mile, up to the cost of the lowest airfare available.
  • Primary and Alternate Representatives must sign in and attend the Annual Meeting of GMAC Member Schools to be reimbursed for travel and hotel.

B. Hotel Reservations

  • You are responsible for making your hotel reservation online at the Chicago Marriott Downtown, 540 North Michigan Avenue, Chicago, Illinois (or phone: 1-800-266-9432). Reference the GMAC room block for the room rate of US$265.42 (including tax) per night.
  • The deadline for room reservations is May 27, 2008.

C. Hotel Reimbursement

  • GMAC will reimburse lodging expenses for representatives and committee members for Thursday, June 19, through Saturday, June 21 (check-out: Sunday, June 22).
  • For representatives and committee members located outside of North America, GMAC® will also reimburse lodging for Wednesday, June 18.
  • An expense voucher will be included in your onsite registration packet and must be returned with a copy of the hotel receipt no later than Friday, July 18, 2008.

D. GMAC Does Not Cover

  • Ground transportation to and from airports
  • Parking fees, with the exception of fees incurred by primary and alternate representatives and committee members driving to the conference
  • Meals, telephone calls, internet usage, incidentals, or miscellaneous expenses
  • Rental cars
  • In-flight movies and alcoholic beverages
  • Penalties or fees that result from changes to air or train tickets
